Questions people ask first

What exactly does each log cover?

Food: fridge and freezer readings, cooking, reheating, hot holding, cooling, deliveries, the opening and closing checks and the daily diary sign-off. Fire: the weekly alarm test from a different call point, fire doors that close and latch, monthly emergency lighting and extinguisher checks. Water: weekly flushing of little-used outlets and the monthly sentinel temperatures, 50°C hot within a minute and cold below 20°C. First aid: the monthly kit check, stocked, in date, no medicines, reachable, with the appointed person named.

How does setup work?

Pick what you run, tick the checks that apply and count your fridges and doors. The ranges and times are already there, with the guidance they come from, and you can change any of them. Staff join from a link or QR code with a name and a four-digit PIN, and a shared kitchen tablet works too.

What is on the export?

Every reading, who took it, when, what was done when something was out of range, and the missed checks, never hidden. Any date range, one tap, as a PDF.

What happens if a reading is out of range?

The app asks what you did about it before the entry can be saved: moved the food, called the engineer, re-checked in 30 minutes. The corrective action sits on the record and on the export.

Can entries be changed afterwards?

No. Entries are never edited or deleted. A correction is a new entry that points at the original with a reason, and both stay visible. Every entry is linked to the one before it by a hash, and the export shows the chain verified.

Does it work without signal?

Checks recorded without a connection are kept on the phone with the time you recorded them and synced when it returns, marked as recorded offline.

What does it cost?

£29 per site per month, monthly, cancel any time. The first 30 days are free with no card. If you stop, the site goes read-only: your history and PDF export keep working.

Do staff need an email address?

No. Staff join with a name and a PIN. Only the owner signs in by email.

Where do the temperatures and frequencies come from?

From the Food Standards Agency, the Home Office fire safety guide for small premises, the HSE legionella guidance and the relevant British Standards. Each check shows its sources, and says whether a figure is a legal requirement, official guidance or recommended practice.

Upkept Logbook records the checks you make. It does not replace your food safety management system, fire risk assessment or legionella risk assessment, and it is not legal advice. Ranges shown come from the cited guidance; follow your own documented procedures where they are stricter.
